With iOS14, you can combine Siri Shortcuts with "Personal Automation" to track incoming emails and messages from specific contacts. This will help you keep even more information for your important relationships (whether clients, customers, personal or professional) in one place, with Contacts Journal CRM.
To enable this functionality, you have to follow these instructions (or watch full video below):
1. Create a Personal Automation
- Open the Shortcuts app (it comes preinstalled from Apple)
- Select the "Automation" tab, and choose "Create Personal Automation"
- Select "Email" (or Message)
- In front of "Sender", select the "Choose" button, and enter in the email address (or phone number, in case of Messages) of the contact you want to track.
- Fill in any other details you might want (like "Subject" if you only to track this when the subject line contains some specific text etc). Press 'Next' when done.
2. Create Action for CJournal
- on the "Actions" page, select "Add Action"
- select "Apps", then select "CJournal" (you could also search for CJournal and select it)
- select "Add Log" to create a new Shortcut to link to the 'Automation'
- tap on the blue bubble for "Contact Name", and type in the name of the contact whose email address you gave before
- tap on the "Log Note" bubble, and then look at the horizontal menu just above the keyboard, which says "Variables" ... scroll that screen horizontally, and then select the "Shortcut Input" option at the end of the list
- The "Log Note" will change into "Shortcut Input", which will capture the email body. You can optionally tap on the "Shortcut Input" and select "Subject", then tap on the keyboard icon in the toolbar, then type in a separator, then select "Shortcut Input" again, tap it again, and choose "Content". This way you'll see both the email subject and the content of the email in the Log notes field.
- Next, select "Log Title" and choose 'Email' from the list
- When done, select the Next button. The next page will show a summary of the new 'Personal Automation' shortcut.
Press Done to save this.
3. Triggering Actions from Notifications
The setup part is done! Now, whenever that contact emails you, you should see a notification from the Shortcuts app. You have to tap on the notification, then tap on "Run" to trigger the "Add Log" action. The email will now be saved in the Logs section for that contact!
You can create multiple "Automations" following this process if you want to track emails / messages from different contacts.
This will hopefully fill a big need towards tracking incoming emails and messages from your most important contacts. We are also working on an option for you to login to your email account from within Contacts Journal, and then track all incoming emails for your contacts without needing your input at all. This is going to be available within the next few months.
